FOR EVERYONE
Getting started
Set up your account and find your way around. Shared by every user, whichever track you are on.
Set up your account
Onboarding in two steps, plus where every setting lives.
How do I set up my ABA FT account?
On your first sign-in, onboarding runs two steps. First, pick what you are tracking: RBT ongoing supervision, BCBA or BCaBA fieldwork, or both. If you choose fieldwork, you then set your certification, fieldwork type, and BACB standard. Second, add your profile details. A short guided tour follows and replays anytime.
Step one is "What you're tracking." RBT-only accounts have nothing else to configure. Choosing fieldwork or both then asks for your pathway (BCBA or BCaBA), fieldwork type (supervised or concentrated), and which BACB standard you follow, so the app knows which checks to run for you. You can change every one of these later in Settings.
Step two is "Profile information": your name, contact details, the information that prints on your verification forms, and one quick question about how you heard about ABA FT. Once both steps are done, your account is ready and a short tour walks the five things you will use most. It is track-aware, so an RBT-only account skips the fieldwork setup, and you can replay it whenever you like.
Supervisor accounts work the same way and are free. You can register directly or click the invitation link a trainee sends you, which connects you the moment you finish onboarding.
Where do I change my tracking, password, and preferences?
Account is one page with two tabs. Profile holds your name, contact details, school, and BACB ID. Settings holds What You're Tracking, Password, and Preferences (theme and timezone). Your email is set at registration and is read-only; changing it takes a quick support ticket.
Under Settings, "What You're Tracking" shows the exact requirements ABA FT checks for you, and Update Tracking lets you switch between RBT, fieldwork, or both and change your certification, fieldwork type, or standard at any time. Your monthly checks adjust automatically to match.
Preferences carries a light or dark theme and your timezone, which keeps your session dates and times accurate. Password changes live here too. The email field stays read-only on purpose, to protect how you sign in.
FOR BCBA & BCABA CANDIDATES
Fieldwork candidates
Logging fieldwork toward BCBA or BCaBA certification: sessions, hour allotment, supervisors, sites, and your verification forms.
Logging fieldwork
Sessions, the hour allotment split, and earlier months.
How do I log a fieldwork session?
Open Hours from the sidebar or tap Log Hours on the dashboard. Enter the date, start time, and end time, and the app calculates your session hours for you. Pick your supervisor, split the session into BACB hour categories, flag whether a supervision contact or observation happened, and add optional notes.
The real form is richer than a simple time entry. You choose a connected supervisor or add one inline with the plus button, and you can set a default supervisor and organization in Settings so they pre-fill next time. Two flags sit on the form: a supervision contact (your supervisor met with you that day) and an observation (your supervisor watched you work with a client).
The Hour Allotment control is where you divide the session into the categories the BACB tracks, with a Remaining counter that reaches 0h 0m once your split matches the session length. Notes are optional and should never include client-identifying information. See the next section for how the categories work.
How do I split a session into restricted and unrestricted hours?
Every session is divided into the buckets the BACB tracks: independent versus supervised, unrestricted versus restricted, and group supervision as a share of total supervision. The Remaining counter shows how much of the session is still unallocated. Record your best estimate now and adjust later. The app never blocks you, and every edit is tracked.
Unrestricted activities like assessment, supervision, and program design build toward your minimum, while restricted activities like direct implementation are capped. The exact percentages depend on your certification and are measured cumulatively across your whole fieldwork experience, not month by month. Rather than restate the tables here, the requirement pages carry the sourced numbers for BCBA and BCaBA.
This is a good place to remember the binding rule: ABA FT informs, it does not enforce. If your split does not balance yet, nothing is lost. You save what you have, come back, and the Remaining counter guides you to 0h 0m when you are ready.
How do I bring in fieldwork I completed before ABA FT?
Open Import Hours and add earlier months as one summary per month, per organization. This is an aggregate form, not a spreadsheet upload. You enter the month's totals and your imported hours add to your overall total, so your progress reflects your full journey. The forms you already signed remain the official record for those months.
A few honest constraints. Imported months count toward your total, but they do not earn compliance awards, and they are summaries rather than sessions, so they are not part of the CSV export. Your existing signed M-FVFs stay the record of record for anything you import.
Supervisors and sites
Connect the people who sign and the places you work.
How do I add and connect with my supervisors?
On the Supervisors page, add each supervisor with their name, credential, and BACB ID, which then appears on your verification forms. Send an invite so they can review your hours and sign forms in the app. You can have several supervisors and choose who signs each form.
A connected supervisor reviews your fieldwork read-only from their own dashboard and signs there. They can never change your logged hours. If a supervisor is not in the app, you can still email them a signed PDF of any form instead.
How do I track fieldwork across multiple sites?
Add each site (a clinic, school, or workplace) on the Organizations page, including its state and country, which print on verification forms. Tie every hour entry to the organization where the work happened. With more than one site, your dashboard can show all organizations together or one at a time.
Compliance is validated per organization, each calendar month, and is not pooled across employers. That mirrors how the BACB looks at a supervisory period, and it keeps a strong month at one site from masking a short month at another.
Forms, compliance, and data
The M-FVF and F-FVF, the inform-not-enforce checks, your progress, and your export.
Does the app ever block me or void my hours?
No. This is the heart of how ABA FT works. Each month is checked against the BACB monthly requirements for your pathway, but every hour you log counts toward your target. A month is never voided and its hours are never withheld. If a month falls short, you see exactly which rule and by how much, and you decide.
The dashboard checks your supervision percentage, group share, hour minimum and maximum, restricted and unrestricted split, observations, and contacts for your path. Green means covered. Amber or red means a rule needs attention. That is information, not a lock. The app never prevents you from recording hours or signing a form.
This posture is deliberate. You and your supervisor own the judgment calls; ABA FT gives you a clear, honest picture to make them with. Compliance you can see, not enforcement you have to fight.
Where do I see my total progress toward certification?
The Progress page is your whole journey on one screen, where the dashboard is only the month you are looking at. It opens with a certification progress bar toward your target, then your total hours and how many remain, your independent and supervised hours as a share of the total, and how many workplace-months you have been active.
Below that, the hour breakdown splits everything you have logged into the BACB categories, and a monthly chart shows each month next to your running cumulative total, so a slow stretch or a strong one is easy to spot. Imported months are included here, because they count toward your total.
In the RBT workspace the same page becomes Supervision History, rolling up every month with your cumulative service and supervision totals instead of a certification target.
How do I generate my M-FVF and F-FVF verification forms?
The Reports page does two things. It pulls a full progress report or any single month's breakdown to view, download as PDF, or print. And it generates your official Monthly (M-FVF) and Final (F-FVF) Fieldwork Verification Forms, pre-filled from your logged data, ready to sign and send to your supervisor.
The monthly report has optional toggles to include your entry notes and a supervision-activity summary. To sign a verification form, choose Sign, then draw, type, or upload your signature, which you can save to reuse. If you have several supervisors, pick who is responsible for the form.
Send the form to a connected supervisor and it lands on their dashboard to review and sign. If they are not in the app, email them the signed PDF or invite them to a free account. Before your supervisor signs, you can reset and re-issue a form. Once they sign, it locks until they reset their signature. The M-FVF is signed by both of you by the last day of the calendar month following supervision; the app reminds you, it does not lock you out.
Can I export my hours, and in what format?
Yes. Open Export Hours under Tools to download every logged session as a spreadsheet-ready CSV. It carries your dates, times, hour allotments, supervisors, organizations, and flags. The export follows your workspace, and imported months, being summaries rather than sessions, are not included.
Your data is always safe in ABA FT, so exporting is a personal copy, never a requirement. It is one of the ways your records stay yours: portable, and yours to keep when you change organizations.
FOR RBTS
RBT supervision tracking
Ongoing monthly supervision at each workplace: logging a day, the live checks, and your Monthly Supervision Record.
Your account and both tracks
Track RBT supervision, fieldwork, or both at once.
Can I track both RBT supervision and fieldwork in one account?
Yes. ABA FT tracks two requirement kinds: RBT ongoing supervision, the monthly supervision an RBT receives at each workplace, and BCBA or BCaBA fieldwork toward certification. You choose during onboarding and can change it in Settings. Tracking both adds a workspace switch in the top bar, and the two tracks never mix their math.
Your dashboard, hours, progress, and records all follow the workspace switch. The same worked hour can legitimately count in both tracks, because a session you deliver as an RBT can also be fieldwork experience. You log it once in each workspace, and each track keeps its own separate calculations.
Your month
Logging a whole day and the live monthly checks.
How do I log a whole RBT day?
In the RBT workspace, Log Hours opens a day form built as a timeline of three kinds of time: a session (behavior-analytic services to clients), a supervised session (flip the Supervised toggle so that time counts as service and supervision at once), and a supervision slot (a meeting or case review outside sessions). The whole day saves together.
Sessions build the service-hour base that your supervision percentage is measured against. If your supervisor was only present for part of a session, split it so the supervised portion is exact. A supervision slot is marked individual or group, and it carries an observation flag for when your supervisor watched you work with a client live.
Each slot can hold its own note, your supervisor comes preselected, and each new slot starts where the last one ended so the timeline flows. Reopen any RBT entry and the entire day loads back into the form for editing.
How does ABA FT check my RBT supervision each month?
The RBT dashboard checks each month at each workplace in real time: your supervision as a percentage of service hours, your two real-time contacts, at least one of them individual, and the live observation. Green means covered. Amber shows exactly what still needs attention before the month closes. A month with zero service hours is a rest month.
The Progress page becomes Supervision History in the RBT workspace, rolling up every month with your cumulative service and supervision totals. As with fieldwork, these checks inform, they never block. Every hour you log is recorded, and you decide what to do about a short month.
One honest limitation worth knowing: checks run per organization, not per client. The exact monthly numbers behind these cards live on the RBT requirements page rather than here.
Your records
The Monthly Supervision Record and how it is signed.
What is a Monthly Supervision Record and how is it signed?
Each month at each workplace becomes a Monthly Supervision Record on the Records page: your services, supervision received, contacts, and observations, with every day documented. You review it, sign electronically, and send it to your supervisor to counter-sign, the same flow as a fieldwork verification form. Both of you keep a copy for at least seven years.
Before your supervisor signs, you can reset and re-issue the record. After they sign, it locks, and they can reset their signature to reopen it. An honest note kept straight from the app: the BACB publishes no official monthly RBT form, so this is ABA FT's own document, built to capture what the requirements call for. Your workplace may have its own policies on top of it.
Unlike fieldwork, RBT supervision has no BACB-set monthly signing deadline, so there is no countdown on these records. You sign when the month's supervision is documented.
FOR SUPERVISORS
The supervisor view
Review and sign, in whichever track your supervisees work. Read-only access, your signature always in your control.
Getting started
What a supervisor can do, and your dashboard.
What can a supervisor do in ABA Fieldwork Tracker?
A supervisor reviews and signs; you never log hours. Once you are connected to a supervisee, you review their hours, dashboard, progress, and records read-only, in whichever track they work. You electronically sign their Monthly (M-FVF) and Final (F-FVF) verification forms and their RBT Monthly Supervision Records, and you keep your own profile current.
Your access begins only after a connection exists and is always read-only. You can never change a trainee's logged hours. Your credentials from your profile print on every document you sign, so keeping them accurate matters.
What does the supervisor dashboard show?
Your dashboard, labeled My Trainees, opens with a Forms Awaiting Your Signature queue, then shows each supervisee as a card built around the current month: hours, entries, and supervision percentage as headline tiles, each requirement carrying its own Met or Needs Attention verdict, plus an On Track or Needs Attention pill per track.
RBT cards show the monthly supervision checks; fieldwork cards show the BACB checks plus total progress toward certification; someone tracking both is one card with a block per track. Click a card to open that supervisee's dashboard, or click a track block to land directly in that track. A Last Entry indicator turns amber after two weeks without logging.
A bar above the cards gives you search, filter, and sort by status, relationship type, name, compliance, or hours. Each card's actions menu holds Dashboard, Progress, Hours, Reports, Export Hours, Archive, and Disconnect.
Connect and review
Link with trainees and see the context before you sign.
How do I connect with a trainee or RBT?
Connection goes both ways. You can use Invite Trainee on your dashboard to email an invitation, and you are connected when they accept. Or a trainee adds you and sends an invite for you to accept. A trainee can connect with several supervisors and choose who is responsible for each form, so you only sign the forms meant for you.
Archive pauses a relationship, hides the person from your active list, and suspends access, and Restore brings it all back instantly. Disconnect ends the relationship from either side, for when someone leaves, and leaves each party's own data intact so you can reconnect later with a new invite. Forms you already signed stay on your Signed Forms page either way.
How do I review a supervisee before signing?
Click a card to step inside that supervisee. The sidebar becomes their sections, Dashboard through Export Hours, and you see the same compliance picture they do: monthly checks, hour breakdowns, supervision percentage, observations, and contacts. For someone tracking both, an RBT and Fieldwork switch in the top bar flips your view between the two tracks.
Everything is read-only. If something looks off, you message the trainee to correct it, and their edits are captured in the append-only audit log. The view switch remembers your choice and never touches the supervisee's account. This is the context you review before you sign.
Signing and forms
Sign a form, where signed forms live, and your profile.
How does a supervisor sign a verification form?
When a supervisee sends a Monthly (M-FVF) or Final (F-FVF) verification form, or an RBT Monthly Supervision Record, it appears in Forms Awaiting Your Signature. Review and Sign opens the pre-filled document. You review the hours and totals, then add your signature by drawing, typing, or uploading it. On signing, the form locks and the trainee is notified.
You can save a signature to reuse. A form you already signed can be reopened by Reset Your Signature, which lets the trainee make changes and re-issue it. The app shows you the compliance picture, but it never blocks your signature. You review the data and decide. You are always in control of your own signature.
Where do my signed forms live?
The Signed Forms page under Tools holds everything awaiting you at the top with Review and Sign, and every already-signed form below. Each can be viewed, printed, or downloaded as a PDF anytime, and the sidebar shows a count whenever something is waiting. Keep signed documentation for at least seven years.
This page is your copy. Forms you signed stay viewable here even after a supervisee later leaves your roster, because the signature is yours. Reset your signature on a signed form to return it to the supervisee for changes.
What appears on the forms I sign, and where do I edit it?
The Account page has two tabs. Profile holds your name, credential (BCBA, BCBA-D, or BCaBA), BACB ID, and contact details, all of which print on the verification forms you sign, so keep them current. Settings changes your password, theme, and timezone. Your email is read-only.
FOR EVERYONE
Help, community, and quick answers
Reaching a real person, earning Community achievements, and the short answers people ask most.
Help and support
Reach a real person and open a ticket.
How do I get help or contact support?
The Help Center in the sidebar opens this guide first, with a Contact Support button. On Support, start typing your question and the app suggests answers from a knowledge base as you type. If that does not resolve it, open a ticket right there. Every ticket is a two-way conversation.
You can attach a screenshot to any ticket. When support replies, you get an email with a link to continue the conversation in the app, and all of your tickets live on the Support page. A real person answers.
Community
Invite friends and earn Community achievements.
What is the Community page and how do I earn points?
Community works the same for trainees and supervisors. Invite a friend by name and email; when they join and verify, or accept your request if they already use ABA FT, you both earn Community achievements, with tiers from your first connection up to 100. Your Community Score grows with every action.
Friend requests appear on the page with Accept and Decline, and you remove a friend with the small x. You can also earn by following ABA FT on Facebook, LinkedIn, or Instagram: submit your username from the matching card and the team confirms it personally. Special Prizes and Awards are noted for members who help build the community. ABA FT is free for everyone, so an invite never costs your friend anything.
Quick answers
Short months and whether an hour can count twice.
Quick answers: short months, and can one hour count twice?
A few real questions the app answers. A non-compliant month simply has not met one or more BACB rules yet, most often the supervision percentage, and your dashboard shows which one and by how much. The same worked hour can count for both RBT service and fieldwork experience: log it once in each workspace.
Log as you go so your hour allotments stay accurate. If your supervisor is not in the app, you can email them a signed PDF or invite them to a free account. The two tracks never mix their math, so counting an hour in both places is honest, not double-dipping.
For supervisors: you cannot edit a trainee's hours, so ask them to correct anything that looks off; their edits are tracked. A form sent by mistake can be reset and re-issued if unsigned, or reopened by resetting your signature if already signed. Supervising someone at a different organization is fine, because the trainee chooses the responsible supervisor per form.
